Sharing limits are not all the same

Email, chat, and portals fail for different reasons. Mail servers reject large MIME parts. WhatsApp and similar apps have their own document ceilings that change by platform. University LMS hosts often sit between 10 and 25 MB. Match the preset to the channel, then attach.

Gmail, Outlook, and 25 MB

Google’s common attachment ceiling is about 25 MB for the whole message. One 28 MB PDF will bounce even if the rest of the mail is empty. Balanced usually lands a slide-heavy report under that line without Maximum mush. If you are still over, split the appendix.

Chat and mobile data

WhatsApp document limits vary and are often far below email. Compress here, then send. Recipients on cellular will thank you for the smaller download even when the app would have accepted the original.

When to split instead

A 120-page scan that must stay sharp should not be Maximum’d into illegibility. Use Split PDF for the pages they actually need, then compress those. Hyperlinks on digital PDFs usually survive Light and Balanced; scans never had links.

How it works

  1. 1

Drop the file you cannot send

Invoices, school forms, and photo PDFs all go through the same three presets.

  2. 2

    Start with Balanced

Readable on phones, small enough for most mail. Switch to Maximum only for a named KB cap.

  3. 3

    Attach from the download

Save, then drop into Gmail, Outlook, WhatsApp, Slack, or the portal field.

Use cases

Gmail bounce

One oversized report. Balanced, download, attach again.

WhatsApp to a client

Contracts on mobile data. Shrink until the app accepts the document.

LMS upload

Coursework portals with megabyte ceilings. Check the syllabus number first.

Slack or Teams

Workspace file caps are real. Compress before you post in a busy channel.

Problems we solve

Silent mail rejection

Some servers drop large PDFs without a clear bounce. Shrink first.

Chat “file too large”

The error is the cap, not your connection. Compress, then retry.

Slow 4G uploads

A smaller file finishes on hotel Wi-Fi. That matters as much as the official limit.

Trust & privacy

Responsive UI

Edge keeps the form usable while the VPS handles heavy files.

Deleted after download

Sharing a contract through this path does not leave a copy on our disk.

No mail plugin

Works in webmail and phone browsers without an extension.
