Compress PDF for Email Under 5MB (Without Killing Readability)

Gmail’s attachment ceiling is generous compared with the forms that still demand “under 5MB.” Court e-filing, university applications, and some government portals treat 5MB as a moral law. The wrong response is Maximum compression twice until the letters look like sand. The right response is one measured pass on Convertify4u, then a split if the PDF is really a photo album pretending to be a document.

Five megabytes is a policy, not a quality setting

A 40-page report of real text might already be 800KB. A 6-page “PDF” of phone photos can be 28MB. Compression engines spend their budget on images. If your file is mostly text, Light or Balanced on /tools/compress-pdf often lands under 5MB with no visible damage. If it is scanned pages, you are negotiating with JPEG-inside-PDF, and you should inspect at 100% zoom on a body paragraph, not at thumbnail size.

Outlook on the web, mobile Gmail, and desktop clients also disagree about what they will send. Always check the downloaded size in the file system, not the rounded number in a chat bubble.

Convertify4u compress workflow

1. Finish content first. Do not compress a draft, then merge two more annexes, then compress again.
2. Open /tools/compress-pdf. Prefer Instant when the page labels the job Instant so invoices never leave the device.
3. Start with Light. Download. Check the byte size. Open page 2 and page 5 at 100% zoom.
4. If you are still above 5MB, try Balanced once.
5. Maximum is for “it must go through tonight and I accept softer photos.” It is not a default.
6. If Balanced still fails, the file is probably a stack of full-resolution camera pages. Split with /convert/split-pdf into two emails, or rescan at a lower capture resolution in /document-scanner and rebuild.

The one-pass rule

Every extra compress re-encodes pictures. Artifacts stack. People then blame “the compressor” for a file they punished three times. Keep the uncompressed master. Name the derivative clearly (proposal-email-5mb.pdf). If a reviewer asks for a print-sharp copy, send the master via a drive link instead of destroying it.

Password-locked PDFs will not compress until you are authorized to unlock them. Do not treat compression as a backdoor around permissions.

When splitting is kinder than crushing

A 12MB file that is “one PDF” of three unrelated exhibits should be three PDFs. Recipients can open exhibit B without downloading a photo of exhibit A’s receipts. Merge is for a packet that must travel as one legal instrument. Compress is for a packet that is already the right pages.

Emailing a 4.9MB file that nobody can read is a failure even if the portal accepted it. Readability at 100% zoom is the pass condition.

Gmail versus the form that still wants 5MB

Gmail and many Outlook tenants will send 20MB without complaint. The 5MB rule usually comes from an older e-filing stack, a scholarship site, or a bank upload widget written against ADSL-era assumptions. Compressing for Gmail “just in case” often destroys photos that would have been fine. Compress because the destination published a number, then verify that number in the widget — some forms count the whole HTTP request, not only the PDF.

If you regularly send the same template (invoices with a heavy letterhead), rebuild the letterhead at a smaller pixel width in the source app. Compression is a mop. The leak is the 4000px logo on page 1.

Privacy of invoices and applications
