Excel to PDF: Print-Ready Sheets Without Broken Columns

Spreadsheets do not think in pages. They think in a grid that runs off the right edge of the universe. Convertify4u’s /convert/excel-to-pdf is a cloud Office render: XLSX over HTTPS, pages come back, temporaries delete. If you skip print setup in Excel, the PDF will be a forest of clipped columns and a footer that says “page 1 of 17” for a table that should have been landscape on two sheets.

Print area and the frozen-pane myth

Frozen panes help you scroll. They do not become repeating PDF headers unless you set Print Titles (rows to repeat at top) in Excel. Print Area should be the table you mean, not a million empty cells Excel still thinks are used because someone formatted row 50000.

Hide columns you would not show a client. Hidden sheets: know whether the renderer includes them. When in doubt, copy the one tab you need into a fresh workbook and convert that.

Page orientation: wide financials want landscape. Tall checklists can stay portrait. Fit-to-width (one page wide by N tall) is usually better than shrinking to “one page” until the type is 4pt.

Convertify4u workbook-to-PDF sequence

1. In Excel or LibreOffice, set print area, orientation, and margins. Preview.
2. Open /convert/excel-to-pdf.
3. Upload a workbook you are allowed to share. Strip other tabs with payroll if this PDF is for a vendor.
4. Download and open the PDF at 100% zoom. Read a mid-table number, not only the title.
5. If columns clip, go back to the XLSX — do not “fix” by screenshotting the PDF.
6. Compress once only if the PDF is image-heavy (embedded logos). Most true tables are already small.

Charts, colors, and gridlines

Charts become pictures. Tiny chart labels die. Gridlines that look helpful on screen can turn the PDF into graph paper; turn them off if the print preview looks busy. Dark theme Excel does not always map to a white print page the way you hope. Check.

Headers with confidential cost centers in the filename are still inside the PDF properties sometimes. Use a boring filename for the upload.

Repeating headers, comments, and very wide tables

If row 1 is the only header, set it to repeat. If comments are stuffed in column Z, they will print as a surprise page of neon yellow unless you hide Z. Very wide tables (26 columns of monthly actuals) will not become readable by shrinking to 2pt. Split the table into two PDFs (H1 and H2) or print a dashboard that already aggregated the story.

CSV uploads that Excel interprets as dates (3-4 becoming March 4) will PDF those dates. Fix types in the sheet first. Convertify4u will faithfully render the mistake.

Multiple tabs, print titles, and the “used range” trap

Excel’s used range often includes a stray value in cell IV2000 from an old paste. That produces extra blank PDF pages. Jump to the last cell, delete the junk, and save. Multiple tabs: convert the workbook only if every tab should be in the PDF. Otherwise copy one sheet. Print titles that repeat a confidential project code on every page will also repeat in the PDF — good for internal packets, bad for a vendor send.

Privacy of financial workbooks
