PowerPoint to PDF for Handouts and Archives

A live deck is a performance. A PDF is a handout. Convertify4u’s /convert/powerpoint-to-pdf renders slides to pages over HTTPS and deletes the temporary upload. Animations, click-to-reveal builds, embedded video, and presenter laser pointers will not come with you. If the joke was on click three, the PDF shows the final state or a mess of stacked objects — depending on how the slide was built. Design the handout on purpose.

What to flatten before you convert

Set each slide to the end state you want printed. Avoid relying on exit animations to hide spoilers; duplicate the slide if you need a “before” and “after” page. Notes: a slides-only PDF will not include your script unless you export notes pages from PowerPoint first and convert that artifact.

Fonts: exotic display type may substitute. Brand decks should use fonts you know travel, or convert on a machine with those fonts installed if the worker substitutes.

Embedded 20MB photos per slide are why a 12-slide deck becomes a 40MB PDF. Compress images in PowerPoint, then convert. Compressing the PDF afterward is a backup, not a substitute for fat masters.

Convertify4u handout steps

Open /convert/powerpoint-to-pdf.
Upload a PPT or PPTX you are allowed to distribute. Remove hidden slides that were jokes for an internal audience.
Download the PDF. Skim every page on a phone. Full-bleed photos with white text often fail on cheap office printers.
If you need 2-up or 4-up paper handouts, that layout is a print-dialog choice after you have a clean 1-up PDF, or a separate PowerPoint handout export.
Archive the PPTX as the editable source. The PDF is what you email to people who should not edit.

File size and portals

LMS upload caps will bounce a photo-heavy PDF. /tools/compress-pdf once after the render is legitimate. Maximum compression will wreck screenshots of UI in the slides. Prefer Balanced and fewer megapixel photos.

Hyperlinks on shapes often survive. GIFs on slides will not animate in most PDF readers.

Handouts in the room versus the archive in Drive

In-room handouts can be 2-up to save paper if the type is large. The Drive archive should stay 1-up so a future hire can read a chart. Do not archive the 4-up version as the only copy. Speaker notes PDFs are a separate export; mixing notes into the attendee PDF is how embargoed numbers leak onto chairs.

If legal needs a timestamped archive, keep the PDF plus the PPTX. A PDF alone is hard to restyle next year when the brand color changes.

Builds, hidden slides, and the PDF that spoils the punchline

If a slide uses five builds to reveal a number, the PDF may show the number immediately. Duplicate slides for the handout: question on one page, answer on the next. Hidden slides in PowerPoint sometimes still export depending on the path — unhide and delete, or move them to a second file named internal-only.pptx that you never convert.

Section headers in the deck become extra pages. That can help a PDF outline or annoy a 10-page limit. Delete decorative section slides before convert if the portal counts pages strictly.

Privacy of unpublished pitches
