A non-editable copy for people who should not have the model
Board PDFs, client invoices, and tax packs are the jobs. Keep the XLSX as the system of record; send PDF when the recipient only needs to read. We do not run macros, do not keep the file, and do not replace your DLP policy — if the workbook is too sensitive for any upload, export from desktop Excel on an air-gapped machine instead.
What to check before you send
Hidden sheets, comments, and unused columns still exist in the file you upload. Unhide and delete what should not appear, or set print area so LibreOffice does not paginate junk. Password-protect the PDF afterward with Protect PDF Instant if the attachment will travel by email.
Invoices vs wide ledgers
Invoice templates are usually portrait. Sales ledgers and inventory are landscape. Mixing both in one workbook is why some tabs look perfect and others wrap — pick orientation for the dominant layout, or export tabs separately and Merge.
Audit copies
Keep the original workbook in your archive. The PDF is evidence of how it printed, not a substitute for version control.
