Document Scanner Guide

Scan Documents for Business

The mail tray is real. Accounting wants PDFs, not a Slack dump of camera photos. Capture on the device you already have, file with names a human can search later.

Office scanning is a naming problem wearing a camera

What belongs here

Vendor invoices, internal forms, packed onboarding packets. Not a 400-page records dump — that is a copier with a feeder. This is the “three sheets before the meeting” tool.

Receipts and contracts have their own pages

Thermal till tape and executed NDAs fail in different ways. Use those spokes when the paper type is the whole story. This page is the general office pile.

After the PDF exists

Compress for email. Merge if you scanned Monday and Wednesday separately. Do not leave the file named Scan_001 in a personal Downloads folder if the company will need it in two years.

How it works

  1. 1

Clear the desk under the sheet

A branded mug in the frame is how PDFs look amateur. Plain background, even light.

  2. 2

    Capture in filing order

Cover first, exhibits after. Rename before you upload to the shared drive.

  3. 3

    Spot-check totals and signatures

Zoom the amount due and the signature block. If either is glare, reshoot that page only.

Use cases

AP inbox

A vendor still mails paper. The ERP wants a PDF. You are the bridge.

HR onboarding packs

Wet-ink tax forms that cannot wait for a desktop scanner appointment.

Field offices

A laptop and a phone, no platen. Capture, file, move on.

Problems we solve

CamScanner on a work phone

Personal-cloud scan apps and client PII are a policy headache. Browser-local is easier to explain to IT.

Unsearchable camera rolls

IMG files are not a records system. PDF plus a real filename is.

Assuming OCR happened

A pretty scan is still an image. Accounting search will not find the invoice number unless you type it in the filename or run OCR later.

Privacy & security

No vendor archive of your clients

We are not your document management system. That is a feature.

Matches desk reality

Built for a few sheets, not a warehouse feeder.
