Why portals ask for 400×400
Staff directories, LMS profiles, and older WordPress themes often cap avatars at 400×400 to save disk. Uploading 1080×1080 can fail on file size even when the ratio is right. Downscale here after you crop the face.
Circle crops
Slack, Teams, and many HR tools display a circle. Keep eyes in the center. Shoulders and text in the corners will vanish. 400×400 is small — do not rely on tiny type in the image.
Not a social feed post
Instagram will look soft if you upscale 400×400 to 1080×1080. Keep a larger master. This preset is a delivery size, not an archival master.
Email signatures
Some signatures want 400×400; others want 300×300. If Outlook inflates the image, the HTML width is wrong — not this export. Match the pixel spec the template comments mention.
